1. Overview

This Privacy Policy details how Taiyo collects, uses, processes, and protects operational data obtained via our corporate Web CRM and internal Mobile Reporting Field Application ("Taiyo Force"). This platform assists in processing logistics, tour planning, beat scheduling, order bookings, and managing supply networks for our animal feed processing tiers (including fish, turtle, bird, cat, dog, and small animal feed lines).


my_location 2. Mandatory Background Location, Geofencing & Live Tracking

The Taiyo Force app collects continuous real-time background location data (Latitude and Longitude) and uses automated Geofencing perimeters. This location data is mandatory to compute field attendance metrics, track ongoing corporate tour plans, calculate accurate financial travel allowances, and strictly verify whether the employee (executive or manager) is physically near the mapped shop location before allowing a check-in.

Live Tracking & Halt Monitoring: Real-time location data is transmitted to the Web CRM and the Manager App. This allows Administrators and Managers to view the live geographical positions of their assigned team members. This live tracking is strictly used to monitor field productivity, ensure tour plan adherence, and identify excessive halt durations (e.g., verifying if an employee is working or idling in the same location for multiple hours) during active work shifts.

Anti-Fraud Enforcement: To prevent spoofing, the application requires direct access to your device's camera to capture live selfie photos (for Punch In, Punch Out, and Shop Check-ins) and live back-camera photos (for allowance/expense bills). Gallery or file uploads are strictly disabled. Because location coordinates dictate financial allowance calculations, verify physical shop proximity, and power live tracking, Location and camera permissions are required for attendance verification, geofencing validation, travel allowance calculations, shop visit verification, and field activity reporting. Certain core features of the application cannot function when these permissions are disabled.


3. Data Categories Collected

What face data is collected?

The Taiyo Force application captures live facial photographs (selfie images) of the employee using the device's front-facing camera at three specific operational events: Punch In (start of work shift), Punch Out (end of work shift), and Shop Check-in (when visiting a retailer or distributor outlet). These are standard photographic images of the employee's face. The app does not use Apple's Face ID, TrueDepth camera, facial geometry mapping, facial recognition APIs, or any on-device or cloud-based biometric face-matching technology. No face templates, facial embeddings, or biometric identifiers are derived or stored.

How is face data used?

Face photographs are used exclusively for the following internal corporate purposes:

  • Attendance verification: The selfie image captured at Punch In and Punch Out is stored alongside the corresponding timestamp and GPS coordinates, creating a verifiable attendance record that confirms the employee was physically present and personally operating the device.
  • Shop visit verification: A selfie captured at Shop Check-in confirms that the employee personally visited the designated retail or distributor outlet.
  • Attendance reporting: Authorized Administrators and Managers can view attendance reports within the Taiyo Web CRM. These reports display the employee's Punch In time, Punch Out time, and their associated selfie images as part of the attendance audit trail.
  • Anti-spoofing enforcement: Requiring a live, real-time selfie (with gallery uploads strictly disabled) prevents fraudulent check-ins or proxy attendance by another individual.

Face photographs are not used for facial recognition, identity matching, authentication biometrics, advertising, profiling, or any purpose beyond the attendance and field-visit verification described above.

Is face data shared with third parties?

No. Face photographs are never shared, sold, licensed, or disclosed to any third party — including analytics providers, advertising networks, or any external organization. All face image data is processed and stored exclusively within Taiyo's internal systems for the sole use of Taiyo's authorized Administrators and Managers when reviewing attendance and field visit records.

Where is face data stored?

All face photographs are transmitted over an encrypted HTTPS connection and stored in Taiyo's private, access-controlled database hosted on Amazon Web Services (AWS) servers. Access to this data is strictly limited to authorized Taiyo system personnel and approved Administrators via the Taiyo Web CRM.

How long is face data retained?

Face photographs are retained on Taiyo's AWS servers for a specific, limited duration of 6 months from the date of capture. We retain this data for exactly 6 months because it is operationally necessary to satisfy trailing corporate attendance audits, resolve payroll and travel allowance disputes, and fulfill semi-annual compliance verification cycles.

After the 6-month period concludes, the face photographs are automatically and permanently deleted from our servers. Furthermore, if an employee leaves the company or their human resources profile is deactivated, all associated face data will be permanently deleted from our systems within 30 days of termination. Employees may also fast-track this removal by contacting customercare@taiyogroup.in.


5. Data Sharing & Security Restrictions

All gathered information is processed internally within isolated database environments owned by Taiyo.

  • No Commercial Monetization: Location traces, live photos/selfies, distributor metrics, and corporate details are never shared with external marketing or analytic agencies.
  • Cryptographic Architecture: Passwords use salted hashing patterns, while API routes communicate exclusively via encrypted layers (HTTPS).

6. User Control & Deletion Policies

Because Taiyo Force is a strict internal enterprise deployment application, field credentials are tied directly to active human resources records.

  • No In-App Deletion or Modification: Employees cannot alter their profile names, details, or delete their accounts from within the mobile application.
  • Admin-Controlled Deletions: All user modifications and account deletions are strictly managed by authorized Administrators via the Web CRM.
  • Requesting Account Deletion: If an employee leaves the company or wishes to have their profile permanently removed from the system, they must direct a formal request to their system administrator, HR department, or forward a written notice to: customercare@taiyogroup.in.
